For travel reimbursements the following paperwork needs to be completed and submitted:

• W9 and an "Add Vendor" form
• your itinerary or receipt showing the ticket has been paid for
  International visitors receiving travel reimbursement:
  • Specify business when you complete your I94 for entry to the USA. For visitors not from "visa waiver" countries, apply for a business visa (B1).
